Dispussipda Holds Technical Guidance on Compiling Archive Retention Schedule

Klojen (malangkota.go.id) – In order to improve the quality of archiving services, the Public Library and Regional Archives Service (Dispussipda) of Malang City held Technical Guidance on the Preparation of the Archives Retention Schedule (JRA) of the Malang City Government (Pemkot) in the Meeting Room of the Malang City Hall, Thursday (6/2/2024).

Regional Secretary (Sekda) of Malang City Erik Setyo Santoso said that archives are an important part of government because they are evidence of performance and records of government activities. Archives are also the basis for formulating policies and evidence of performance accountability.

"Orderly and good archive management and archive arrangement continues to be strengthened. In archiving, there are four pillars towards good and systematic archive arrangement. First, the Official Manuscript System (TND), such as letterheads that comply with standards, letter codes, all of these have their rules. Second, Archive Classification (KA), then Archive Retention Schedule (JRA) and fourth is the Archive Security and Access Classification System," explained Erik.

Erik said that the Archive Retention Schedule is mandatory for local governments. The elements contained in the JRA are the archive retention period, type of archive and recommendation for determining the fate of the archive (destroyed or permanent).

On the same occasion, the Head of the Malang City Dispussipda, Yayuk Hermiati added that the Regional Government is obliged to prepare a JRA as a guideline for depreciation as stated in Article 48 of Law Number 43 of 2009 concerning Archives.

"This is to realize efficiency and effectiveness in archive management, where every archive creator is required to implement a reduction program which is the final stage in the archive life cycle," explained Yayuk.

By having a JRA, the Regional Government will be able to implement a reduction program systematically, routinely, easily and smoothly, as well as guarantee the safety of archives that have secondary/static value as evidence of national accountability and the nation's collective memory.

"The Public Library and Regional Archives Service of Malang City in 2024 achieved an 'A' accreditation from the National Library of the Republic of Indonesia. Hopefully in 2025 Malang City can successfully achieve the AA predicate," he concluded. (yul/yn)
